- Phone Number: We collect your WhatsApp phone number to identify your account and provide our services.
- Voice Notes and Messages: We process voice notes and text messages that you send to our WhatsApp or Telegram number for transcription or AI response purposes.
- Usage Data: Information about how you use our service, including frequency of use, features used, and interaction patterns.
- Device Information: Information about the device you use to access our service, such as IP address, device type, and operating system.
- Location Data: We collect country and city information for personalization purposes.
- Payment Information: If you subscribe to a paid plan, payment details are collected and processed by Stripe, our payment processor.
3. How We Use Your Data
We use your personal data for the following purposes:
- To provide our transcription and AI chat services
- To process and complete your subscription transactions
- To improve and personalize our services
- To communicate with you about your account or our services
- To detect and prevent fraudulent or unauthorized activity

4. Data Sharing and Third Parties
We may share your data with the following third parties:
- OpenAI: We use OpenAI's services to process voice transcriptions and generate AI responses. Your voice notes and messages are sent to OpenAI for processing in accordance with their privacy policy.
- Stripe: We use Stripe to process subscription payments. Your payment information is handled directly by Stripe in accordance with their privacy policy. We do not store your full credit card details.
- Analytics Providers: We use analytics services (such as Google Analytics) to help us understand how users interact with our service.
- Service Providers: We may share data with service providers who perform services on our behalf, such as hosting, customer support, and email delivery.
5. Data Security
We implement appropriate security measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.
6. Data Access & Internal Controls
Your privacy is protected by strict internal access controls:
- No Staff Access to Content: Our admin dashboard does NOT display the content of your transcriptions, summaries, or chat messages. Only metadata (date, duration, status) is visible to administrators.
- Encrypted Storage: Your data is stored on secure, encrypted servers (Railway) with encryption in transit (TLS) and at rest.
- No Human Review: Your voice notes and transcriptions are processed automatically by AI. No VoiceAI staff reads your messages.
- OpenAI Processing: Transcription and AI features are powered by OpenAI's API. Per OpenAI's API data usage policy, data sent via their API is not used to train their models.
- Self-Service Deletion: You can delete all your data instantly using the /delete command in the app - no need to contact support.
- Privacy Mode: Enable with
/privacy onfor zero data retention. When Privacy Mode is enabled, transcriptions are processed but never saved, and chat messages are not stored. Nothing to delete because nothing is saved.
7. Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
Transcriptions and chat history are retained to provide features like Voice Note Memory (Pro) and conversation context. You can delete all your data at any time using the /delete command, or enable Privacy Mode (/privacy on) to prevent any data from being stored in the first place.

Depending on your location, you may have various rights regarding your personal data, including:
- The right to access your personal data
- The right to rectify inaccurate personal data
- The right to erase your personal data
- The right to restrict processing of your personal data
- The right to object to processing of your personal data

9. Data Deletion
You have the right to delete your personal data at any time. We offer two methods:
- Self-Service (Instant): Type
/deletein WhatsApp or Telegram. After confirming twice, all your data (transcriptions, chat history, account) will be permanently deleted immediately. - Email Request: Send an email to info@transcriber.ae with the subject "Data Deletion Request" and your phone number. We will process within 30 days.
Deletion removes: all transcriptions, summaries, translations, chat messages, saved bookmarks, and your account. This action cannot be undone.
10. Children's Privacy
Our service is not intended for children under the age of 16, and we do not knowingly collect personal data from children under this age. If you become aware that a child has provided us with personal data, please contact us.
11. Changes to This Policy
We may update our privacy policy from time to time. We will notify you of any changes by posting the new privacy policy on this page and updating the "Last Updated" date at the top.
